Who we are

This website (“the Site”) is operated by Smart RPE Solutions Ltd (“we”, “us”, “our”), a company registered in England & Wales (Company No. 15632450). We provide Fit2Fit accredited face fit testing services across the UK.

We are committed to protecting and respecting your privacy. This notice explains what personal data we collect through the Site, how we use it, and the rights you have. For the purposes of UK data protection law, Smart RPE Solutions Ltd is the “data controller” responsible for your personal data. Personal data means any information relating to a person who can be identified from that information.

Our Site may contain links to other websites. If you choose to follow those links, please be aware that we are not responsible for how those other organisations process your data, and we encourage you to read their own privacy policies.

What data we collect

We only collect the information we need to respond to you and run this Site:

• Enquiry details you give us. When you contact us through our contact form or by email, we collect your name, your company (if provided), your email address, your phone number (if you choose to give it), and the content of your message.
• Basic technical data. Like most websites, our hosting provider automatically records limited technical information — such as your IP address, browser type, and the pages requested — in server logs, to help keep the Site secure and running properly.

You don’t have to give us your personal data, but if you don’t we may not be able to respond to your enquiry. We do not knowingly collect any special category (sensitive) personal data through this Site.

How your data is used

We use the information we collect for the following purposes:

• To reply to your enquiry and provide a quote or information you’ve asked for. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
• To keep the Site secure and working. Lawful basis: our legitimate interest in protecting and maintaining our website.

We do not use your details to send you marketing you haven’t asked for, and we do not use automated decision-making or profiling. You can withdraw any consent you have given at any time and ask us to delete your data.

Sharing your data

We do not sell your personal data and we will not share it for marketing purposes. We only share it with the trusted service providers we rely on to run the Site and handle enquiries. These act as our processors and only use your data to provide their service to us:

• An email delivery provider — delivers your enquiry from the website to our inbox by email.
• A website hosting provider — hosts and serves this website.
• Google Analytics — measures website usage, but only if you accept analytics cookies (see “Cookies and analytics” below).
• Google reCAPTCHA — protects our forms from spam and abuse. When it runs, Google may collect information about your device and activity, which it uses to provide the anti-spam service to us and for its own security purposes. See our cookie policy for detail.

We may also disclose information if we are required to do so by law, or to protect our legal rights.

How and where we store and protect your data

Your enquiry is delivered to us by email and stored in our email system, accessible only to a limited number of authorised people at Smart RPE Solutions Ltd. Our website is served securely over an encrypted (HTTPS) connection and does not hold a public-facing database of visitor information.

Some of our service providers operate outside the UK and European Economic Area (EEA), which means your data may be transferred and stored internationally. Where this happens, we take reasonable steps to ensure your data remains protected to UK standards, using appropriate safeguards such as UK International Data Transfer Agreements or standard contractual clauses.

How long we keep it

We keep enquiry emails only for as long as we need them to deal with your enquiry and for a reasonable period afterwards for our business records, after which they are deleted. Server logs are kept only for a short period by our hosting provider. If you would like us to delete your enquiry sooner, just ask.

Your rights

Under UK data protection law (UK GDPR) you have the right to:

• be informed about how and why we collect and use your data;
• ask for a copy of the personal data we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your personal data;
• ask us to restrict or object to how we use it;
• ask us to transfer your data to another provider; and
• withdraw any consent you have given, at any time.

Cookies and analytics

When you first visit, we ask whether you’re happy for us to use analytics cookies. We only set them if you choose “Accept”. If you decline, no analytics cookies are set and no analytics data is collected. Either way, the website works exactly the same.

If you accept, we use Google Analytics to understand how visitors use the Site — for example which pages are most popular — so we can improve it. This data is collected in a way that does not identify you personally (your IP address is anonymised), and we do not use it for advertising. Google acts as our processor for this. Lawful basis: your consent, which you can withdraw at any time by clearing this site’s cookies in your browser.

We also use Google reCAPTCHA on our forms for security, which may set a cookie. We do not use advertising or marketing cookies. A full list of the cookies we use — what each one does and how long it lasts — is set out in our cookie policy.

Complaints

If you have any concern about how we handle your personal data, please contact us first (see below) so we can try to put it right. You also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO).
